Bulk messaging

Bulk messaging is a lightweight way to send direct Slack messages to your Contacts from your own personal Slack account. While you are able to select multiple people at a time, each message will be sent as an individual direct message to every Contact you've selected.

To start a bulk message, select Contacts from any Contact table, including the Contact explorer, Segment, the Contact list on an Organization page, and the list of Contacts in a Workflow log. You can also send a message from the upper right of a Contact's profile.

Bulk Messaging Overview

To send direct Slack messages to Contacts of your community:

  1. Open the bulk messaging experience by
    1. Selecting Contacts in a Contact table and selecting 'Message'
      Note: If any selected Contacts are not within the Slack workspace you are trying to message, we will indicate they will be excluded from the message.
    2. Selecting 'Message' in the upper right of a Contact profile (if the user has an account in your Slack)
  2. Click 'Select an account’ and select your personal Slack account where the Slack message should come from.
    1. Note: If this is the first time you’ve tried to send messages as yourself on Slack through Common Room, you will need to sign in to Slack first by clicking 'Sign in as <Your Name>' to authorize Slack to send a message as you. Click 'Allow' on the Slack dialog to authorize Slack. For this message to work properly, make sure you authenticate the account in the right Slack workspace where the community Contacts should be messaged.

  3. Click 'Continue to composer' and set the contents of your message
    1. Note: If you’d like to mention the Contact in your message, click ‘{{@mention}}’ - in the message sent, we will replace {{@mention}} with the user’s Slack handle. You can also apply formatting like bolding, italics, and strikethrough, and you can embed hyperlinks directly into the message. Any emojis in text format (such as :wave:) or any Slack channels in text format (such as #welcome) will be replaced with the emoji or the channel link if they exist in the destination Slack workspace. Before finishing the message, you can send a test message to yourself from the Common Room bot.
  4. Click 'Preview" to review the message before sending
  5. Click 'Looks good, send' to deliver the message. You will receive confirmation from the Common Room bot in Slack that the messages are delivered.
