Contact Tags

Contact tags allow you to filter for contacts with certain attributes, and can be used to filter Contacts on the Contacts, Activity, and Organizations pages.
Common Room allows you to automatically tag contacts to make it easier to surface those who are well-matched to your programs. You can also create and apply your own custom tags to track contacts (for example, swag recipients or beta testers).
To view the complete list of the custom tags used within your Common Room, view the table below or go to your App settings.

Ideal Persona and Product Qualified will require your team to perform initial set up, they are 100% configured and defined by your organization. If they haven't been set up yet, no "Edit" button will be visible. Your team will need to choose the "Set up" option first, and then once configured the "Edit" option will become available.
Contributor engagement is calculated by their activity in these signals:
- Discord, Discourse, Slack: At least one non-self reply.
- GitHub: At least one pull request created/closed or commit merged.
- Stack Overflow: At least one answer.
- inSided: At least one idea, article, answer, or product update.
- Khoros: At least one blog, forum, non-self reply, or answer.
- YouTube: At least one video upload or 20+ comments.
Influencer engagement is similarly calculated by Contacts with broad reach in at least one of these signals:
- Twitter: ≥ 500 followers
- GitHub: ≥ 100 followers
- Youtube: ≥ 100 subscribers
Customize or Disable Tags
The Contributor, Influencer, Community Qualified, Ideal Persona, and Product Qualified default tag criteria can be customized to a criteria that best fits your team's needs. Any tag which is not suitable to your organization can also be turned off. To customize or disable a default tag:
- Tags can be found in your app settings. Click the Settings gear at the bottom left of the left navigation bar.
- Then, click Tags in the left navigation bar.
- Default tags can be found at the top of the “Contacts” tab which contains all contact tags. Click either the default tag you want to customize or disable the tag by toggling the tag “Status” to Off.
- For custom tags that your team creates, you can create a tagging workflow that will add your custom tag automatically to contacts that meet the criteria.
- When you define your custom criteria, the preview table will update with a few contacts that qualify under the custom criteria. Verify that this is what you’re expecting.
- Click Save.
Customizing default tags is not required. If you do not customize tags, Common Room will automatically update the tag criteria as you add signals to your room.
Create a Contact Tag
Contact tags can be created in a variety of ways. To create a contact tag from the contacts page:
- Go to the Contacts page.
- Find the Contacts you’d like to apply the tag to.
- Check the box next to the contact's name to select each contact you want to tag.
- Click the More button which appears at the top of your screen when contacts are selected.
- From the dropdown menu, hover over the Tag option. You will be presented with a list of your room's current tags.
- There will be a search bar at the top of this list of tags. In the search bar, type the new of what your new tag will be called.
- Select the +New tag option that will appear.
- Once the tag is successfully created and applied to the contact, you’ll see a confirmation toast at the bottom of the page.
To create a contact tag from a contact profile:
- Open a contact profile.
- At the top of the screen beneath the contact's name and title there will be a list of the tags that are already on the contact. At the end of this list there will be pencil icon labeled "Add." Click this option.
- You will be presented with a list of your room's current tags.
- There will be a search bar at the top of this list of tags. In the search bar, type the name of what your new tag will be called.
- Select the +New tag option that will appear.
- Once the tag is successfully created and applied to the contact, you’ll see a confirmation toast at the bottom of the page.
To create a contact tag from the App settings page:
- Go to the Settings page.
- Open Tags in the left menu.
- Click on the +New Tag button in the top right corner.
- Choose whether the new tag will be for contacts, organizations or activities.
- This opens up a modal in which you can create a new tag.
- Enter the name of your tag and a useful description of the tag.
- Click Create tag to create the tag.
Apply a Contact Tag
To apply a contact tag from the contacts page:
- Go to the Contacts page.
- Find the Contacts you’d like to apply the tag to.
- Check the box next to the contact's name to select each contact you want to tag.
- Click the More button which appears at the top of your screen when contacts are selected.
- From the dropdown menu, hover over the Tag option. You will be presented with a list of your room's current tags.
- There will be a search bar at the top of this list of tags. In the search bar, type the name of the tag you're wanting to add to the contact. You can also scroll within the dropdown to find the tag you would like to apply.
- Click on the tag to apply it to the selected contact.
- Once the tag is successfully applied to the contact, you’ll see a confirmation toast at the bottom of the page.
To apply a contact tag from a contact's profile:
- Open a contact profile.
- At the top of the screen beneath the contact's name and title there will be a list of the tags that are already on the contact. At the end of this list there will be pencil icon labeled "Add." Click this option.
- You will be presented with a list of your room's current tags.
- There will be a search bar at the top of this list of tags. In the search bar, type the name of the tag you're wanting to add to the contact. You can also scroll within the dropdown to find the tag you would like to apply.
- Select the tag you'd like to have added to the contact.
- Once the tag is successfully created and applied to the contact, you’ll see a confirmation toast at the bottom of the page.
You can remove a Contact tag from within a contact profile by clicking the x on the tag.
Edit a Contact Tag
- Go to the Settings page.
- Open Tags in the left menu.
- Navigate to the Contacts tab, which displays all of your existing contact tags along with their usage in the system.
- Click Edit to the right of the relevant tag's name.
- Edit the name and/or description. Edits made here will be reflected anywhere the tag has been used.
- Click Save changes.
Delete a Contact Tag
- Go to the Settings page.
- Open Tags in the left menu.
- Navigate to the Contacts tab, which displays all of your existing member tags along with their usage in the system.
- Check the box next to the tag you’d like to delete. You can select multiple tags at once for deletion.
- Click Delete at the top of the tag list. Deleted tags will be removed from all Contacts.
- Click Delete tag.
There is no way to manually add a Default Contact Tag to a Contact in your room, these will be automatically assigned based on the criteria associated with the tag. Only custom tags created by users in your organization can be manually added to contacts.
